We're using the Slack and Google Hangouts combo since it integrates nicely with how we communicate in the offices.
Though a previous agency I worked for leveraged Slack and RingCentral, which worked out quite well. It resolves that issue of giving out personal cell numbers to the client — as it handles business calls and extension forwarding through an app. It took a little bit to get acquainted but the whole system works nicely.
It really comes down to the project you are working on. Some of the projects I manage where I work require weekly updates/checks, and others are closer to quarterly reviews. Assess the requirements by the client or team first — some projects require a closer eye to be kept on metrics more frequently.
Mostly it's a weekly or monthly report on basic stats for me; returning values like Visitors and Pageviews, while finer stats like userflows and referral link tables are more by quarter.

I have a setup where I alternate pretty frequently from Wacom Intuos and Keyboard shortcuts, while holding the stylus pen — clicking or swiping with my MBP's trackpad. I can't really explain why, but it's become a very simple albeit strange setup. I can't live without my function keys on the Intuos and gestures on the MBP.
When I'm without the Intuos, I roll around with 1 of 2 mice, the sporty Microsoft Wireless Mouse 4000 and when I'm feeling basic (read as:the batteries have died), the Microsoft Basic Optical Mouse (I bought them on super great discounts and both work well in a variety of places/surfaces)
Airmail for the win. On MacOS only though. Using Inbox on Android.

It depends on the project. But on average three is the magic number for me.
For websites, apps, and branding it's a much more integrated process and I treat it like a conversation. You don't bog down your friend with more than 3 or 4 options when talking, it's just too much of a cognitive load. Keeping it simple is best.
For collateral and production pieces, usually that surfaces only one, maaaaybe two designs. But those are few and far between.
